The form sends the enquiry to our fixed partnerships inbox through MailerSend. MailerSend processes the enquiry and delivery information needed to accept, deliver and report the message. The address you provide is used as the Reply-To address so we can respond; it cannot change the sender or destination. Message-open, link-click and content tracking are disabled for this form. We use Cloudflare Turnstile to reduce automated abuse. Cloudflare may process the challenge token, IP address and browser or device signals needed to decide whether a request appears genuine. You can read Cloudflare's privacy policy and its data processing information.
For rate limiting and duplicate-send protection, our site keeps only keyed hashes derived from the request identifier, enquiry fields, email address, IP address and provider message reference. The form code does not write the raw enquiry, raw email address or raw IP address to these operational database records or application logs. Rate-limit records expire after their short abuse-prevention window, and duplicate-send records expire within seven days.
To avoid silently exhausting our email provider allowance, the site also keeps anonymous aggregate counts of Partner-form delivery attempts by UTC date and UTC hour. These counters contain no name, email address, IP address, enquiry text or other visitor identifier. A date counter is deleted when it can no longer contribute to the current-date-plus-previous-30-dates enforcement window, and an hour counter is deleted when it can no longer contribute to the current-hour-plus-previous-24-hours enforcement window. They are retained only for those capacity-enforcement periods.
The actual enquiry is kept in the partnerships mailbox only for as long as reasonably needed to assess and respond to it, manage any resulting relationship, resolve disputes and meet applicable record-keeping obligations.
Tools, result emails and newsletters
You can use our planning tools without giving us an email address. If you choose “Email my result”, we use the details described below only to prepare and deliver the result you asked for. Asking for a result email does not sign you up for marketing.
What the result-email request contains
The request contains your email address, the tool you used, the version of the tool form, and only the bounded fields needed to recreate the result:
- Plan Ahead: the short project name, project type, stage, available time, short space description, blocker, target date and short constraint you entered.
- Saved Idea: the short idea name, feature to keep, room and change type, source type, light, fixed features, practical limits, spending range, available time, skill level, short constraint and deadline.
- Paint Estimator: measurement unit, room or wall mode, dimensions, selected surfaces, trim area, openings, coats, surface type, application method, stated coverage and planning allowance.
- Wallpaper Estimator: measurement unit, room, wall or ceiling mode, hanging direction, dimensions, roll size, trimming allowance, pattern repeat and match, and spare-roll choice.
- Colour Palette: room, light and either (a) the fixed element, surface, region and two or three paint candidates, including their brand, name, finish and your bounded test observations, or (b) a screen colour value, desired feeling and source type.
- Style Finder: the bounded room, material and colour answers you selected.
We calculate the result again on our server and send the resulting quantities, dates or practical recommendations in a fixed email template. We do not accept or send an uploaded image, image data, a source-image address, a page address, an arbitrary link or unrestricted notes. If a tool lets you use an image, the image stays in your browser; only an allowed source label and, where relevant, a derived six-digit screen-colour value are included in the request.
Delivery and abuse protection
MailerSend processes the destination email address, the allowed result fields and the finished service message so that it can deliver the result and report delivery, bounce or complaint events. The result email is a service message and is not used as proof that you agreed to marketing. You can read MailerSend's privacy policy.

Optional newsletter sign-up
The newsletter choice beside a tool result is separate, optional and unticked. It clearly offers The Week Ahead every Friday plus occasional Hearth & Petals recommendations and offers. You receive the requested result whether or not you choose it. If you tick it, MailerLite receives your email address, the two list groups that identify the newsletter and this tool-sign-up source, the sign-up date and time, and the IP information used for the sign-up. For a new sign-up, MailerLite sends a confirmation request; we do not start marketing to that address through this tool unless the address is confirmed. We use consent as the legal basis for newsletter and offer emails.
MailerLite manages our marketing list, confirmation, newsletters, automations, unsubscribes and suppression records. Some other newsletter forms on this site are supplied through Grow by Mediavine; those forms collect the details and choices shown beside them and pass sign-up information to the email service identified by that form. Every marketing email includes an unsubscribe link. You can withdraw consent at any time without affecting the lawfulness of earlier processing. Unsubscribing stops marketing but we may keep the minimum suppression information needed to honour that choice. How long we keep this information
The website does not save the raw destination email address, raw IP address, tool answers, uploaded images or result-email content in its tool-email operational tables. It keeps visitor-linked keyed one-way identifiers, rate-limit counters and limited request or delivery state for no longer than seven days, then deletes them. These short-lived records help prevent duplicate sends, diagnose failures and control abuse.

If you tick the separate newsletter choice, the website also keeps a pseudonymous consent-evidence record for six years. That record contains keyed one-way identifiers derived from the email and IP address, the exact consent wording and version, the tool sign-up source, the request and update times, and whether the provider accepted the request. It does not contain the raw email address, raw IP address or tool answers. We keep this separate record to demonstrate and manage the consent choice; it expires automatically after six years.
MailerSend keeps message and delivery records under its own current retention policy. Cloudflare keeps Turnstile information under its current privacy and retention terms. We do not state a fixed period for provider-controlled records because those providers set and may update it.
If you separately join the newsletter, MailerLite keeps your subscriber and consent record while we need it to provide the newsletter, manage the relationship and meet legal or suppression obligations. We review our list and delete or anonymise information when it is no longer needed, except for the minimum record needed to respect an unsubscribe, objection or complaint.
Processors, transfers and your choices
MailerSend, MailerLite, Cloudflare and Grow by Mediavine act as service providers for the purposes described above. They may process information in countries outside the United Kingdom. Where required, we use the providers' contractual and transfer safeguards.
Depending on where you live, you may have rights to ask for access, correction, deletion, restriction or a copy of your personal information, and to object to processing based on legitimate interests.
